Work through orders on the board

The shop app’s board shows today’s orders by their number. Staff call the number, so nobody has to swap phones or spell names.

About 3 minutes.

  1. 1

    A new order arrives

It appears in “Waiting now” with a chime, a notification and its number, such as A27, while the files are still arriving. Turn the chime off in Settings → Display.

  2. 2

    Open it

Open the order to see each file with its quality badge, or choose “Open folder” (Ctrl O, or ⌘O on a Mac) to go straight to the files. When you start on it, choose “Start processing” from its ⋯ menu (or right-click it, press S, drag it, or use Start in its panel): it moves to “Processing now”, so everyone can see it is being worked on. Looking at its files never moves it. Click the order again, or press Esc, to close its panel.

  3. 3

    Collect later

For customers who will come back, choose “Move to Collect later”. The order keeps its number and folder. Collect later sits folded at the side of the board: click it to open it.

  4. 4

    Mark ready, then delivered

Press R to mark the order ready (it moves to “Ready to collect”) and D when the customer has collected it. Delivered orders move to “Delivered today”, folded at the side like Collect later.

  5. 5

    Open any file

Videos and recordings play, PDFs page through, and Word, Excel, PowerPoint, RAW and Photoshop files show a preview, inside the shop app. Show details adds each file’s facts: pages, size, length or camera.

  6. 6

    Find an order again

Customers keep a short number, like A27, which starts again each day. Every order also has an Order ID, like #1042, that never repeats: search for “#1042” in Search, or by the number, name or phone.

  7. 7

    Cancel or block

A duplicate or a mistake? Open the order and choose More → “Cancel order”. To stop someone sending, choose “Block sender”; the blocks are listed in Settings → Receiving, where you can lift one.

  8. 8

    From the dashboard

The same orders are on the dashboard (app.sendtoshop.com), for the owner away from the counter. Crops and photo edits are changed in the shop app, where the photos print. Wi-Fi orders’ files stay on the shop PC, so the dashboard shows them as “On the shop PC”.
